Privacy Policy

This policy explains how Global Scent Solutions LLC, doing business as GrassAccord ("we", "us"), handles personal information when you visit grassaccord.com or buy a formula. Contact: perfumer@grassaccord.com, 8 The Green, Ste R, Dover, DE 19901, United States.

1. Information we collect

Order information: the nickname (or name) you give us, your email address, billing country and the products you buy. We do not ask for your real name, postal address or phone number.
Payment information: card details are entered on and processed by our payment processor, Stripe. We never see or store your full card number.
Support messages: what you write to us by email, and, if you are a member, the requests you send from the Concierge page (text only) and our replies.
Usage data: pages visited, approximate location (country/city level from IP address), browser and device type, collected with cookies by our self-hosted analytics tool (Matomo).
Account (optional): if you create one, your nickname and email, so you can see your order history. You sign in with Google or a one-time code sent to your email; we do not keep a password.
Membership records (with an account): your 9-digit member number, stamps, coupons, vouchers, mileage, tier, and, if you joined with a referral, which member referred you.
News and offers by email (optional, only with your consent): whether you agreed, and when you agreed or withdrew. You can change this at any time on My Account, and every marketing email has an unsubscribe link.
Birthday (optional, only with your consent): if you choose to enter it to receive a birthday voucher, the month and day of your birthday (never the year). You can remove it at any time on My Vetiver; we then delete it.
Sign-in with Google (optional): Google gives us your email address and your Google profile (name and picture), which our commerce platform keeps with the sign-in record. We use only the email address; your Google name is never copied into your account unless you choose it as your nickname.
Download records: when you download a Formula we record the time, IP address, browser and result, to protect against shared links. Each Formula PDF carries your nickname and email address in small print.
Reviews (optional): if you review a formula, your rating and text are published with your nickname, country and membership tier, after we have read it. Your email is never shown.
Language: the site language you use, so our emails reach you in that language.
Login session, bag and wishlist: stored only in your own browser (local storage).

My LAB: the formulas and perfumer's notes you choose to save in your account. They are stored encrypted; they are yours, we do not read them, and they are never shown to our staff tools. Formulas you keep "on this device only" stay in your browser and never reach us.
Email preference records: when you agree to or stop news and offers (including the unsubscribe link in our emails), we keep the date and time, the IP address and browser used, and how it was done, as proof of your choice.
Security and access records: each time you sign in, we record the date and time, IP address, approximate country, browser and sign-in method. While you are signed in, we also record which pages and formulas you open, with the same details. Our servers keep technical logs of every request (IP address, page address, browser). We use these records only to protect your account and the site, to prevent fraud, and as evidence in disputes.

2. How we use it

To deliver the formula file you purchased to your email address.
To run your membership: stamps, coupons, vouchers, mileage, tier and referral benefits, and, if you entered your birthday, a yearly birthday voucher.
To send you news and offers by email, only if you agreed to receive them.
To answer questions, handle refunds and prevent fraud.
To keep records required by tax and accounting law.
To understand how the site is used and improve it.

We do not sell your personal information, and we do not use it for advertising by third parties.

3. Who we share it with

Stripe, to process payments.
Our hosting, email and content-delivery providers (including Cloudflare), only to run the site and send your file.
Authorities, when required by law.

4. Cookies

We use cookies for analytics (Matomo) and to remember your language. You can block or delete cookies in your browser settings; the shop will still work.

5. Retention

Order and payment records are kept for as long as tax law requires (generally up to 7 years). Support emails and Concierge requests are kept for up to 3 years. My LAB formulas and notes are kept until you delete them or close your account. Email preference records are kept for as long as you have an account and up to 3 years after, as proof of consent. Analytics data is kept in aggregated or pseudonymous form. Security and access records (sign-ins and pages opened while signed in) are kept for up to 3 years, and server technical logs for up to 1 year, or longer when needed for an investigation or dispute.

6. Your rights

Depending on where you live (for example the EU/UK under the GDPR or California under the CCPA), you may ask to access, correct, delete or receive a copy of your personal information, or object to its use. Email perfumer@grassaccord.com and we will respond within 30 days.

7. International transfers

We are based in the United States and our providers may process data in other countries. We rely on our providers' standard safeguards for these transfers.

8. Children

The site is not intended for anyone under 18, and we do not knowingly collect their information.

9. Changes

We may update this policy. The current version is always on this page.
